Personalshop enhances operations with Ultimo software

The mail-order company Personalshop has adopted enterprise asset management software Ultimo to enhance operations at its logistics centre in Polling, Austria.

The enterprise asset management (EAM) software facilitates the centralised management of asset information, efficient planning of maintenance tasks, and improved management of work orders and spare parts. Personalshop has implemented this software in its highly automated logistics facility, which is the hub for its operations in the DACH region.

Operations at the logistics centre, which is designed to process over 60,000 items daily, are supported by a fully automated high-bay warehouse with 10,500 storage locations and approximately 1,200 belt and roller conveyors. Additionally, the facility includes a shuttle block warehouse equipped with 100 transport robots, storage and retrieval machines, packaging machines, and return stations.

Hannes Egger, Head of Logistics at Personalshop, stated, "The scale and complexity of our logistics facility in Polling require precise and reliable management of the resources to ensure smooth operations. We also need to ensure that all critical components are always available in our spare parts warehouse, which holds over 7,000 active SKUs (Stock Keeping Units), and that maintenance tasks can be systematically planned and executed."

Personalshop prioritised ease of use and functionality when selecting the software to ensure full adoption by the technical team. Emre Yalcin, Head of Maintenance and Repair, remarked, "We wanted to ensure that our technical team adopts and fully utilises the software. Only then can we truly leverage the benefits of an EAM system."

Personalshop opted for the ready-to-use Premium edition of the software, which does not require configuration. Following a three-month implementation period, the company has leveraged features such as managing the asset structure, planning maintenance and repair work, and analysing disruptions.

The software includes data analytics, mobile working, and e-learning capabilities. The technical team can effectively manage maintenance schedules, handle work orders, and manage spare parts. Comprehensive reporting and analysis tools also allow maintenance activities to be monitored for informed decision-making.

Mobile applications integrated with the software enable access to pertinent information from any location, ensuring that maintenance tasks are flexible and responsive. Personalshop implemented a 'train the trainer' approach, where two technicians received training before passing knowledge to the rest of the team.
