Everywhen sees 28% savings from Apogee workplace overhaul

Everywhen has reduced its workplace costs by 28% as a result of its partnership with Apogee, and is projected to achieve a further 19% reduction.

The company, formerly known as Ardonagh Advisory, is working with managed workplace services provider Apogee to update its IT and print infrastructure. This effort has enabled hybrid working for its 9,000 staff across the UK, supporting its aims for digital transformation and improved business continuity.

Hybrid working drive

As demand grew for flexible working arrangements, Everywhen sought to create a modern workplace infrastructure that would both improve employee experience and reduce operational costs. Partnering with Apogee allowed the company to introduce new IT and document management processes designed to deliver efficiency and savings.

This partnership has led to a 28% cut in contractual costs and a reduced reliance on traditional in-office equipment. The company's staff are now able to access critical systems and documents while working remotely, reinforcing resilience and continuity across business operations.

Modernising infrastructure

A significant focus for Everywhen was updating its asset-heavy, high-cost print infrastructure. Apogee put into place a fully managed print service under a flexible leasing agreement. The service model was further enhanced by the rollout of OneSource, an outsourced document service enabling staff to send documents for printing and posting securely from any location. Incoming mail is now digitised and redirected, maintaining staff access to business-critical information wherever they are based.

The revamped approach has reduced spending on equipment, paper, and stationery. The shift away from manual handling has allowed staff to concentrate on client service regardless of whether they are in the office or working remotely.

Donna Nuth, Head of Supplier Relationship Management at Everywhen, said: "We hadn't devised an effective business continuity plan for remote and hybrid working, but Apogee helped us rethink how our business communicates and operates, removing the need for physical equipment access while ensuring continuity across our UK operations. Apogee is a safe pair of hands that we have come to fully rely on. We've already made huge strides in reducing our overheads, and looking ahead, we very much see Apogee as a part of our digitalisation plans for the future."

Hardware deployment

Following these developments, Everywhen is also collaborating with Apogee to update its hardware estate. The company has rolled out more than 1,300 laptops via a leasing model, supporting flexible work. An estimated 200 additional devices are added monthly. The approach is expected to reduce complications arising from equipment obsolescence and disposal challenges.

Further efficiency automation

The ongoing partnership includes the introduction of AutoMail — an automated document handling solution that increases data security, reduces manual intervention, and is predicted to result in annual savings of 19% for Everywhen.
